Wedding Guest Shuttles in the Yarra Valley and Mornington Peninsula: How to Get Everyone There and Home

If your venue is an hour out of Melbourne, guest transport is not a nice-to-have. Without a wedding shuttle plan, guests either drive (and drink less, or drink and drive, or leave a car parked overnight), or they scatter across ride-share apps that cannot find a gravel driveway at 11pm. A properly timed shuttle keeps everyone together, keeps the night moving and gets people home safely without you fielding calls at midnight.

Why does a venue an hour from the city need a shuttle plan?

Because the alternative falls apart in practice. Ride-share pricing surges once a wedding lets out and a dozen guests open the app at the same time. Drivers do not always know how to find a Yarra Valley or Macedon Ranges property down an unlit gravel lane, and cancellations at that hour are common. A shuttle removes all of that. One vehicle, one route, one pickup time, and your guests are not left standing on a verge waiting for a car that never shows.

How should the loops be timed?

Most weddings need three loops, not one. The first takes guests from their accommodation to the ceremony. The second, later in the day, moves the reception crowd (or a subset staying elsewhere) back to accommodation if the ceremony and reception are at different addresses. The third is the one couples forget: a last loop after the send-off, timed to when the venue actually needs the room cleared, not when you hope the night will end. Build in a 15 to 20 minute buffer either side of each loop time. Weddings never run exactly on schedule, and a shuttle that shows up on the dot while guests are still finishing speeches just sits there empty.

What size vehicle do you actually need?

This comes down to guest numbers and how spread out the accommodation is. A single 25-seat mini coach comfortably handles a guest list of 60 to 120 running two or three loops, since not everyone travels on every loop. Two 14-seat Mercedes-Benz Sprinters can work better than one mini coach when guests are staying across two different towns, since you can run both routes at once. For larger weddings, a 57-seat full-size coach in one loop can be more efficient than three loops of a smaller vehicle. There is no single right answer here, so it is worth talking through your guest list and accommodation spread with the operator. For a rough sense of what a vehicle of any size costs to charter, see our guide on bus charter costs in Melbourne.

What about the bridal party and family?

The bridal party and immediate family usually need something separate from the guest shuttle, both for timing (they are often moving earlier, for photos) and for comfort on the day. A 7-seat Mercedes-Benz V-Class suits a bridal party plus parents well, and keeps that group off the main shuttle schedule entirely, so a delayed photo session does not hold up guest transport.

Do out-of-town guests need airport pickups?

If you have interstate or international guests flying in for the wedding, it is worth asking the operator whether airport transfers can be arranged alongside the wedding transport, rather than leaving guests to sort out their own transfer on top of an unfamiliar drive to the Yarra Valley or Mornington Peninsula. Bundling it into the one booking is usually simpler than coordinating separately. It also helps to flag every pickup suburb up front, since Melbourne-based guests often base themselves somewhere like Frankston rather than near the venue itself.

What problems catch couples out?

A few things come up again and again at Yarra Valley, Mornington Peninsula, Macedon Ranges and Bellarine venues. Bus bays at some wineries and function venues are tight, and a large coach may not turn in where a mini coach can. Gravel driveways and unsealed access roads rule out some vehicles, especially after rain. And midnight finishes mean the last loop needs to be planned for in advance, not sorted on the night. None of these are dealbreakers, but they need to be raised with the operator before the day, not discovered on it.

How do you brief the operator properly?

Give them the full picture up front: guest numbers per loop, exact addresses, ceremony and reception timing, and where the bridal party needs to be and when. Mention anything unusual about the venue, such as a gravel entrance or a bus bay with a size limit. The more the operator knows before the day, the fewer surprises on it.

What should a written quote include?

A proper quote should set out the vehicle or vehicles, the number of hours booked, the pickup and drop-off points for each loop, and confirmation that no deposit is required until the booking is confirmed. As a rough guide, wedding transport in the general Melbourne market is usually quoted per vehicle per block of hours rather than per guest, so the quote should make clear exactly what block of time is covered and what happens if the day runs over.

How far ahead should you book?

October to April Saturdays are peak wedding season across the Yarra Valley, Mornington Peninsula, Macedon Ranges and Bellarine, and good vehicles get booked out well ahead of the date. If you have a Saturday in that window, it is worth locking in transport as soon as the venue and guest numbers are settled, rather than leaving it until closer to the day.

Red Carpet Charters runs the same drivers and vehicles as Red Carpet Wine Tours, who know the Yarra Valley, Mornington Peninsula, Macedon Ranges and Bellarine from years of running wine tours through those regions. The fleet covers everything from a 7-seat Mercedes-Benz V-Class for the bridal party through to 57-seat full-size coaches for the full guest list. Get in touch with your guest numbers, accommodation spread and timing, and we will put together a written quote with no deposit required until it is confirmed. Frequently asked questions

How many loops does a wedding shuttle usually run?

Most weddings need three: accommodation to ceremony, reception to accommodation (if guests are staying overnight nearby), and a final loop after the send-off. Some weddings need fewer if the ceremony and reception are at the same venue.

Should we book one large coach or two smaller vehicles?

It depends on your guest numbers and how spread out the accommodation is. One mini coach running multiple loops often works for a single accommodation cluster, while two smaller vehicles can suit guests staying across different towns, since both routes can run at the same time.

Can the same operator handle the bridal party and the guest shuttle?

Yes. It is common to book a smaller vehicle like a 7-seat Mercedes-Benz V-Class for the bridal party and family separately from the main guest shuttle, so photo timing does not affect the guest schedule.

How far in advance should we book wedding transport?

As early as possible once your venue and guest numbers are confirmed, particularly for an October to April Saturday, since that is peak wedding season across the Yarra Valley, Mornington Peninsula, Macedon Ranges and Bellarine and vehicles are booked out ahead of time.
